EDU Project Ltd (reg. no.: C 105942) organises Erasmus+ KA1 training courses and structured job-shadowing programmes for educators, adult education institutions and VET providers. Our quality assurance framework is based on the Adult Education Act, the Estonian guidelines for the preparation of curricula for continuing education, and the Erasmus+ KA1 Quality Standards for courses and training providers.
1. Quality assurance of study programmes and job-shadowing programmes
All courses and job-shadowing programmes include:
name and thematic focus
clearly defined learning outcomes
conditions for participation, where applicable
total study workload, including proportions of guided learning, field activities, digital learning and independent work
structured learning content and sequence
description of the learning environment (physical, virtual, field-based)
list of study materials, if prescribed
conditions for completion and documents issued
trainer/facilitator qualifications and relevant experience
Courses and job-shadowing programmes are designed following principles of adult learning, focusing on practical application, reflection and transfer to participants’ own contexts.
2. Quality of trainers, facilitators and hosts
Trainers have higher education qualifications and relevant professional experience in the field they teach.
Adult education specialists involved in programme development hold an adult educator qualification at least at EQF level 7.
Trainers and facilitators use methods appropriate for adult learners (experiential learning, reflection, peer exchange).
For job shadowing, EDU Project coordinates access to suitable host environments (training centres, learning institutions, organisations) that demonstrate relevant and good-quality practice.
3. Learning environments
Physical learning environment
Trainings take place in rooms that support interaction, group work and the use of different learning methods.
Rooms are equipped with suitable presentation tools and technical equipment.
Virtual learning environment
E-learning and independent work are organised in virtual environments that support the achievement of learning outcomes and allow participants to access materials before, during and after the programme.
Field and observation environments
Field visits and job-shadowing sessions are organised with partner institutions in Malta.
Safety, accessibility and clear instructions are ensured for all external activities.
4. Participant information and support
EDU Project provides participants and sending organisations with:
clear information about programme content, learning outcomes, schedule and location
practical information on accommodation and logistics (where relevant)
support in completing Learning Agreements, Mobility Agreements and/or Europass Mobility documents when required
preparatory materials before the start of the programme
guidance and facilitation throughout the training or job-shadowing period
a learning environment that respects diversity, equal opportunities and ethical conduct
5. Feedback and continuous improvement
Feedback is collected using an online questionnaire after the training or job-shadowing period. The questionnaire covers three levels:
Reaction: satisfaction with content, methods, materials and learning environment
Learning: perceived learning outcomes and new insights
Applicability: how participants intend to apply what they have learned, including concrete examples
Feedback is analysed by target group and programme type. Results are used to improve curricula, methods, trainer development and organisational processes.
6. Certification
Upon completion of the programme, participants receive a Certificate of Completion indicating the main content, duration and learning outcomes.
Upon request, EDU Project issues a Europass Mobility Certificate, based on information provided by the sending organisation and the activities carried out.
7. Personal data protection
EDU Project Ltd collects the following personal data about participants: first and last name, personal identification number / ID number / date of birth, payer and invoice recipient details, and e-mail address.
Personal data is processed in accordance with the Personal Data Protection Act and used solely for the purposes of registration, invoicing, reporting and certification.
8. Payment terms
8.1. Invoicing
An invoice is issued after registration has been confirmed by EDU Project.
The standard payment deadline is 14 calendar days from the invoice date.
If the registration is made less than 60 days before the start of the programme, the payment deadline is 7 calendar days.
In all cases, the participation fee must be fully paid before the start of the training or job-shadowing period.
8.2. Payment responsibility
The paying party may be the participant, their employer or another organisation (e.g. Erasmus+ sending organisation).
By confirming the registration, the participant and/or sending organisation agrees to the payment terms and cancellation conditions.
9. Cancellation and Changes
9.1. Cancellation of course participation
· Cancellations must be submitted in writing (e-mail). The following rules apply:
· More than 60 days before the start
• Full refund of the participation fee
• Participation may also be transferred to another person from the same organisation, or to another course, subject to prior agreement
· 30–60 days before the start
• Refund of 70% of the participation fee
• Participation fee may instead be transferred to another person from the same organisation, or to another course, subject to prior agreement
• One transfer is possible
· Less than 30 days before the start or no-show
• No refund
• Participation fee may instead be transferred to another person from the same organisation, subject to prior agreement
• One transfer is possible
9.2. Cancellation of job-shadowing participation
· Job-shadowing follows the same cancellation rules as courses, with the following addition:
· An administrative/coordination fee is always non-refundable, regardless of the time of cancellation.
· Any remaining amount is refunded or transferred according to the above rules (60 days / 30–60 days / less than 30 days).
· Only one transfer (to another person or to another date/course) is possible, and must be agreed in advance.
9.3. Changes initiated by EDU Project
· If EDU Project must cancel or reschedule a programme (e.g. due to force majeure or an insufficient number of confirmed participants):
· Participants may transfer to another available date, or
Receive a full refund of any fees paid to EDU Project for that programme.
· Costs for travel, accommodation or other external services remain the responsibility of the participant or sending organisation.
10. Governance and review
The basis for ensuring the quality of the continuing education institution’s activities is established by the administrator. Changes to the quality assurance and payment principles are introduced by a decision of the board members of the educational institution and published in updated form on the EDU Project website.
